Clear, simple and human
The important bits.
How Hoogah looks after your information, what to expect when you book, and how we try to make every experience welcoming and accessible.
Privacy notice
Hoogah is run by Teresa Kelly, a sole trader trading as Hoogah in Norfolk, UK. Teresa Kelly is responsible for the personal information Hoogah uses. If you have a question about your information, email info@hoogah.org.uk.
What we collect
When you contact or book with Hoogah, we may collect your name, email address, organisation, the experience you are interested in and anything you choose to include in your message. If you become a client or participant, we may also hold booking, payment, attendance and brief session information.
Please avoid sharing health or other sensitive information in the first website enquiry. If information about health, access needs or wellbeing is genuinely needed to provide a safe and suitable experience, we will explain why it is needed and handle it carefully.
Why we use it
- To answer enquiries and discuss whether a Hoogah experience is right for you.
- To arrange and provide coaching, group sessions, workshops and programmes.
- To manage bookings, payments, records and reasonable adjustments.
- To meet legal, accounting, safeguarding or insurance responsibilities.
- To send news or marketing only when you have chosen to receive it. You can opt out at any time.
We rely on steps taken before entering a contract, performance of a contract, legal obligations, consent where required, and our legitimate interests in answering enquiries and running Hoogah safely and responsibly.
Who we share it with
We do not sell your personal information. We use a website hosting provider to keep the site available and secure. We may also use providers for email, bookings, payments, accounting or professional advice as needed for the service you request. They receive only what they need to provide their service. We may also share information where the law requires it or where there is a serious safeguarding concern.
Website enquiries are processed by FormSubmit so they can be delivered to the Hoogah email address. FormSubmit states that it processes submitted information to provide its service. Please see its linked privacy information for details; Hoogah’s own retention approach is explained below.
Some service providers may process information outside the UK. Where required, appropriate safeguards must apply, such as UK adequacy regulations or approved contractual safeguards. Contact us for details about the providers and safeguards relevant to your information.
How long we keep it
General enquiries are normally kept for up to 12 months after the last contact. Client and participant records are kept only for as long as they are reasonably needed. Financial, insurance or safeguarding information may need to be kept for longer to meet legal or professional responsibilities. Information that is no longer needed is deleted or securely disposed of.
Your choices and rights
You may ask for a copy of your personal information, ask us to correct or delete it, object to or restrict certain uses, or withdraw consent where consent is the basis being used. Email info@hoogah.org.uk to make a request.
If you are unhappy with how your information is handled, please contact Teresa first so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office.
Cookie information
Cookies are small files that websites can place on your device. They can be needed to make a website work, remember preferences, understand how people use it or support advertising.
This Hoogah website does not intentionally use advertising cookies or optional analytics cookies controlled by Hoogah. The website and its hosting provider may use strictly necessary technology for security, access and reliable operation. These essential functions do not use your information for advertising.
If optional analytics, embedded media or marketing tools are added later, this page will be updated and you will be asked for a choice before non essential cookies are used.
You can also manage or delete cookies through your browser settings. Blocking essential cookies may affect how a website works.
Terms and cancellations
These terms apply to Hoogah experiences provided by Teresa Kelly trading as Hoogah. Any important details that are specific to a coaching package, group session, workshop or organisational programme will be confirmed in writing before a booking is made.
Enquiries and bookings
Sending an enquiry through the website does not create a booking. A booking is confirmed when Hoogah and the person or organisation booking agree the experience, date, price and payment arrangements in writing.
Prices and payment
Some standard prices are shown on the website. Bespoke workshops and programmes are priced individually. The full price and any additional venue, travel or material costs will be confirmed before you agree to book. Payment is due in the way and by the date shown in the booking confirmation.
Cancelling or moving a one to one session
Please give at least 48 hours’ notice if you need to cancel or move a one to one session. With 48 hours’ notice, the session can normally be moved to another suitable date or any session payment can be refunded. With less than 48 hours’ notice, or if you do not attend, any cancellation charge will be limited to a fair reflection of the actual net loss caused by the cancellation, taking account of costs saved and whether the time can be rebooked. It will never exceed the session fee. We understand that genuine emergencies happen and will always try to be reasonable.
Group experiences and workshops
Cancellation and transfer arrangements for group sessions, events and organisational work may vary because venues, materials and facilitator time may have been committed. The arrangements will be explained when you book. You may be able to transfer your place to somebody else if you contact Hoogah beforehand.
If Hoogah cancels
If Hoogah has to cancel, you will be offered a new date or a refund of the amount paid for the affected experience. Please contact us about any other losses. Your statutory rights and any responsibility that cannot lawfully be excluded remain unaffected.
Your consumer rights
Nothing in these terms takes away rights you have under UK consumer law. For consumer service bookings made online, by email or by telephone, you normally have 14 days from the day after the contract is made to cancel without giving a reason. To cancel, email info@hoogah.org.uk with your name and booking details, clearly saying you wish to cancel. You do not have to use a particular form. Where this right applies, we will refund payments within 14 days of being told, using the original payment method unless you agree otherwise, without a refund fee.
We will only begin a service within that period at your express request. If you then cancel, a proportionate amount may be payable for services already supplied, where the law permits. The right is lost after full performance only if you expressly requested the early start and acknowledged that consequence beforehand. We will not assume that every dated group session is exempt: any legally applicable exception will be explained clearly before purchase. These statutory rights take priority over our usual cancellation policy.
Optional cancellation wording
You can email: “I give notice that I cancel my contract for [service], agreed on [date]. My name is [name] and my booking reference, if any, is [reference].”
What Hoogah is, and is not
You remain responsible for your own decisions, actions and wellbeing. If you are worried about your physical or mental health, contact an appropriately qualified health professional. In an emergency, call 999 or use the appropriate emergency service.
Groups, respect and confidentiality
Participants are expected to treat one another with respect and allow room for different views and experiences. Hoogah may ask somebody to leave if their behaviour is unsafe, discriminatory or seriously disruptive.
In group experiences, everyone will be asked to respect the privacy of what others share. However, Hoogah cannot guarantee that another participant will keep information confidential, so please share only what feels right for you.
Under 18s and safeguarding
Work involving children, young people or adults who may be at risk will only take place with suitable consent, safeguarding arrangements and clear agreement with the parent, guardian or commissioning organisation where required. Confidentiality may need to be broken if there is a serious concern about somebody’s safety or a legal duty to share information.
Materials and website content
Unless agreed otherwise, Hoogah retains the rights in its session plans, activities, written materials, branding and website content. Materials may be used personally by participants but must not be copied, resold or used to run another session without permission.
Responsibility
Hoogah will provide services with reasonable care and skill. Nothing in these terms excludes responsibility where it would be unlawful to do so, including responsibility for death or personal injury caused by negligence, fraud, or your statutory consumer rights.
Photographs and recordings
We will ask for your permission before using an identifiable photograph or recording of you for publicity. Taking part does not require you to agree to publicity. Please do not photograph or record other participants without their permission.
Questions or concerns
If something does not feel right, please email info@hoogah.org.uk. Please include the booking details and what you would like us to put right. We will acknowledge your complaint and explain the next steps. We would always prefer the opportunity to listen and try to resolve it. These terms are governed by the laws of England and Wales, without taking away any mandatory protections or court rights available to consumers where they live.
Accessibility
Hoogah is for real people with different needs, experiences and ways of taking part. We want the website and Hoogah experiences to feel clear, welcoming and usable.
Using this website
The website has been designed with readable text, clear headings, keyboard friendly links, descriptive image text, visible focus styles and layouts that adjust for phones and larger screens. You should be able to enlarge the page using your browser without losing the main content.
The enquiry form can be completed using a keyboard and provides a clear confirmation after it is sent. If the form is difficult to use, you can instead email info@hoogah.org.uk directly.
Taking part in Hoogah
If you need information in another format, a quieter setting, extra processing time, physical access information or another reasonable adjustment, please tell us. You do not need to share more personal information than is necessary to explain what would help.
Tell us if something is difficult
This website has not yet had a formal independent accessibility audit. If you find something difficult to use or access, email info@hoogah.org.uk and describe the page or information you need. We will do our best to provide it another way and improve the website.
